The process of getting university catering is a little Byzantine the first time, but don't be afraid to ask questions--everyone has been helpful. Start well in advance of the planned event; SOE wants paperwork to be done two weeks ahead of time.

1. Figure out what you want to order--this page links to the menu.

2. Get a catering request form from Patricia Guavara over in Faculty Services (E2); she can help you fill it out, and she'll give you a FOAPAL.

3. Send an email to catering (Catering@ucsc.edu) with your name and phone number, fax number (use the Faculty Services number, 459-4482), department, name and mailstop, event date, start and end times, location, number of attendees, and payment method). Tell them what food you want, and also drink and salad choices if you have them. Carolyn Stevens, who is very helpful, can supply a sample email to work from.

4. Catering will fax back a contract. For an event costing over $100, you'll need the signature of the department chair. While you're there, get him to sign the recharge request form too (Carolyn Stevens, who's very helpful, can highlight the places he needs to sign). Get a FOAPAL from Patricia Guavara and supply it and recharge number on the contract (the recharge number is the four digits at the top right of the recharge request form), and add any missing information about the event (title, etc.). Fax the signed and completed contract back to catering (9-4610).

5. Get the recharge request form signed by the official host, which can be a grad student. (You already have the department chair's signature, right?) Once you've gotten everything in order, make Patricia Guavara a copy of the recharge request form, and then make copies of everything for yourself. Put the request form, the catering contract, and a guest list in an inter-office mail envelope--they can do this for you at Faculty Services--and have it carried to Kimberly Goddard.

6. If you need tables for the food (this is a good idea for lunches in 280), call Marcus in Facilities at 9-5710. Make sure to put the tables outside in the hall afterwards, so he can collect them later even if the room is occupied.

7. With any luck, that's everything!
